Trimble Subscription Software License Assignment – Revised June 2022

After purchasing a new Trimble Subscription software license the company admin, declared at time of the license sale to BuildingPoint, will be sent an email to activate the license and assign it to a user email. The admin through the license management portal can change the assignment of the license in the future as needed.

Best Practice Recommendation:
It’s a best practice to have 1 company license owner/admin in your central office that can assign Trimble software licenses and move the licenses as needed. You can assign users to be company license admins to help in the process of moving licenses from one end user to another user. End users should not be license owners unless they are one in the same for your company.

An example of the activation email message is included below. This example includes the link to create a Trimble ID. If you have already created one, that is associated to the same email address as the activation email, then you will only see the Visit License Manger Link.

License Manager Portal

Once you sign in to the License Manger you will see all of the software subscriptions under the Licenses tab that have been assigned to your TID. You will need to ACCEPT the licensing terms for each license before you are allowed to use the license or assign it to another user. Accepting the terms for one license in a specific software block will accept the terms for all of the licenses in that block. See the screenshot example below of subscription license list.

NOTE: Initially the Administrator will be assigned to the first license on list of licenses shown in the purchase block. This can be changed to another user following the steps outlined below.

Activate a New License

To officially activate a license you just need to click the ACTIVATE button as highlighted below. The license will expire per the expiry date shown with the license or 30 days after being assigned to your TID if it is not activated by that time. Should the license expire due to in-activation please reach out to our support team via our support case form. Once a license is activated there will be a notification email sent out to the end user for the license. It’s possible to activate a license to both an end user and one that has not been assigned to an end user.

All licenses that are purchased on the same sales order will be activated during the activation process and they will show the same expiry date.

Creating a User

If you need to assign the license to another user besides yourself as the license Admin you can do that by clicking the USERS tab on the left hand side of the window. You will then see a current list of users available for license assignment. To add a new user you need to click the CREATE USER button in the upper right corner of the screen.

In the Create New User screen you will need to fill in the new user’s name and email address. The email address will be connected to a Trimble ID. Please make sure your users have created their Trimble ID’s. They can go to the following site to do that. https://myprofile.trimble.com

If you want to make a new user an additional administrator of the licenses you can do that by selecting the “Grant Administrator Access” button at the bottom of the Create New User screen. This will give the user the ability to move licenses to other users in the future.

Once the user list has been populated you will see the name and email of each of your users that are available to be assigned a license. You will also see a column that defines their Role i.e. owner / administrator or user. From this screen you can edit or delete a users information as needed.

Assigning License to a User

To assign a license to an existing user select the ASSIGN USERS button as highlighted below.

After selecting Assign Users another screen will be displayed showing the purchased subscription licenses that are available for assignment. To select the license you want to assign to a user select the radial button that is front of the license name. Once you have selected the license you want to assign to a user you will see a new window open that will show you how many licenses are available. Below that you will see your current user list and you will need to select the box in front of the users name to assign that user a license.

After selecting the user to assign a license, you will see the number of available licenses decrease. To finish assigning the license to a user click the ASSIGN USERS button.

Should you only have one license available to assign you will see a caution message pop up in place of the license count information. The message will state “Please get in touch with a Trimble Reseller to buy more licenses”. This is just alerting you that you have no more licenses to assign once you assign the license to the selected user. By selecting the button above you will officially complete the license assignment for the named user.

Back on the licensing main screen you will now see the users name and email associated with the software license. You will also see a message with their email address stating what subscription the user has been assigned to

NOTE: After license assignment the user will be sent an email stating that they will need to use their Trimble ID to sign in to the software. If they don’t already have a Trimble ID they will be asked to create one in the email message.

Remove a License from a User

In the license title you can click the “x” next to the users name to remove them as the user of that license. This allows you to assign the license to another user.

To assign a license to an existing user select the Assign Users icon as highlighted below. Currently there is an issue in the license manger assignment when using the drop down arrow to select a current user for the license. You will see a message pop-up saying “Duplicate Assignment” if you use the drop down list to assign the license to an existing user.

Assigning License to New User

To assign a license to a new user you will need to click the new user icon in the license title.

After selecting the new user icon a window will pop-up asking for the New Users information. In this window you can decide to make the user an administrator of the licenses assigned to your TID for this software block. There is a confirmation box that will appear before the admin rights are assigned to the new user. The admin rights will allow the user to assign the license to another end user should the license need be moved between team members.

If more than one license type for a specific software solution has been assigned to your TID then the licenses are grouped together as a block for that software solution. When activating one license type for that software block you will also activate all of the other licenses assigned in that same block.
